Automatic Transfer of Client Payment Methods to Non-Home Locations

Overview

Clients visiting multiple locations in your brand can enjoy a smoother experience without needing to re-enter their payment details. With automatic payment method transfers in Core, when a client’s record is copied to a new location, their existing payment information follows automatically—making purchases and fee processing faster and more consistent.

This not only improves the client journey but also helps maximize revenue opportunities by minimizing missed payments.


Prerequisites

  • Client profile must exist at the original (home) location.
  • Locations must use the same payment gateway (e.g., Ezypay, Stripe, or Midtrans).
  • Admin access to Core to view and manage client profiles.

Tip: Ensure all brand locations are using the same payment gateway provider to allow seamless transfers.


Step-by-Step Instructions

Step 1: Log in to Core

Sign into your Core account with your admin credentials.


Step 2: Copy or Move a Client to a New Location

When a client is:

  • Booked into a new location for the first time.
  • Manually copied using the corporate client lookup feature.

Their payment method will automatically appear in the new location.


Step 3: Verify the Payment Method

At the destination location:

  • Open the Client Profile.
  • Navigate to the Payments tab to confirm that the payment method has been copied.

How the Feature Works

Payment Gateway Behavior
Ezypay Transfers payment methods without additional Load Fees.
Stripe / Midtrans Payment method transfer supported if both locations use the same regional Stripe/Midtrans account.
Duplicate Protection If a payment method already exists at the destination, no duplicate will be created.

Tip: Once transferred, staff can easily process No-Show fees, POS purchases, and membership charges without asking the client for payment details again.


Expected Outcome

Clients’ payment methods are available across all relevant brand locations, improving the speed of service and reducing missed revenue opportunities.


FAQs

Q: Will payment methods automatically sync across different gateways?

No. Transfers are only supported if both locations use the same gateway provider (e.g., both use Stripe US).

Q: What happens if a client updates their payment method?

Updates are maintained at the home location and shared across connected locations during future movements.

Q: Does this trigger any additional fees for the business?

No. Payment method transfers, particularly with Ezypay, do not incur additional load fees.
