Resolve Negative Inventory in Current Stock

Overview

In Hapana's POS system, inventory levels can drop below zero to allow uninterrupted sales—even when stock isn’t manually updated in real time. However, if stock is replenished without covering the full negative balance, the system will continue to display a Current Stock level of 0.

This article explains why this happens and provides a clear method to properly adjust stock levels.

  • Knowledge of how to manually adjust POS inventory

Tip: You can still process sales even if the system shows zero stock. This feature helps maintain business continuity during busy periods.


Step-by-Step Instructions

Step 1: Check the Current Stock Level

  1. Log into core.hapana.com
  2. Go to Payments > POS Inventory
  3. Locate the item showing a Current Stock of 0
  4. Review the Actual Stock Level — if the stock is listed as 0 but you know stock exists, it may be due to a negative balance

Example: POS shows 0, but actual value is -88


Step 2: Calculate the Correct Adjustment

To update the correct value, add stock equal to:

The negative amount + your actual physical stock

Example:

If the current internal stock is -88 and the actual stock you physically have is 10 units,

you must add: 88 + 10 = 98 units


Step 3: Adjust Inventory

  1. In POS Inventory, select the product
  2. Click Edit Stock
  3. Add the calculated number of units to bring the value above zero
  4. Save changes

Tip: If you only add 69 units to an item at -88, the system calculates -88 + 69 = -19, which is still negative—so Current Stock will still show as 0


Expected Outcome

Once you've added enough stock to exceed the negative value, the Current Stock field will update to reflect the actual quantity on hand.


FAQs

Q: Why is my inventory showing 0 when I just added more stock?

Because the previous inventory was in the negative. You need to offset the full negative balance before stock becomes visible.

Q: Can I still sell items when stock is at 0 or negative?

Yes. The system allows sales even if the stock level is at 0 or less, allowing uninterrupted operations.

Q: How can I prevent negative inventory in the future?

Regularly update your stock after large sales or during scheduled inventory checks to ensure your system reflects true stock levels.
